How Conversion works with Cvent

Conversion connects to Cvent through OAuth and syncs each Cvent event into a Conversion field event, reading registrations and check-ins every hour. Registrations, waitlist moves, and cancellations update campaign members on the statuses your field event type maps, check-ins mark people as attended, and registrants who never checked in become no-shows six hours after the event ends. The sync runs one way, into Conversion, and a linked Salesforce campaign picks up every status it writes.

What you can do

Hourly sync

Cvent has no attendee notifications, so Conversion reads changes every hour. A registration made on Cvent appears within the hour, and Re-sync on the event pulls changes in immediately.

Check-ins become attendance

A check-in on Cvent moves the member to your attended status, and registrants who never checked in become no-shows six hours after the event ends, so follow-up workflows can treat each group differently.

Statuses you define

Field event types are yours to edit. Map the registered, waitlisted, attended, and no-show meanings once, and custom statuses like Visited Booth or VIP are never overwritten by the sync.

Statuses in Salesforce

Link the field event to a Salesforce campaign and every registration, check-in, and no-show reaches its campaign members. A campaign Conversion creates takes its Type from your field event type.

What syncs

Data Direction Details
Event details Into Conversion Title, times, format, registration and lifecycle status, venue and address, planner as organizer, and capacity.
Registrations Into Conversion Accepted, Waitlisted, and Pending Approval attendees land on the matching statuses. Cancelled or denied registrations remove the member, and plus-one guests aren't brought in.
Check-ins Into Conversion A check-in moves the member to your attended status, whatever their Cvent attendee status.

How to connect Cvent

  1. 1 Confirm your Cvent account is on Cvent's North America data center and that a planner with the administrator role can approve access.
  2. 2 In Conversion, open Settings > Integrations, click Connect on Cvent, and approve read access to events, attendees, and contacts in Cvent.
  3. 3 Create a field event with a type that maps the registered, waitlisted, attended, and no-show meanings. The default Conference, Tradeshow, and Dinner / Roundtable types already do.
  4. 4 On the field event's Overview tab, click Connect on the event platform card and select the Cvent event before it ends.

No. The Cvent sync runs one way, into Conversion, so moving a member to Registered in Conversion changes their status only. Point invitations at the event's Cvent registration page, which appears on the field event's Overview tab as the Registration URL.

Yes, when the field event is linked to a Salesforce campaign. Registrations, check-ins, and no-shows from the Cvent sync are pushed to the campaign members, and changes your team makes in Salesforce flow back. Marking someone Registered in Salesforce doesn't register them on Cvent.
